Bank Statement: Meaning, Uses, and How to Get One

When someone asks for your bank statement, your next question might be: “What kind of copy do I need?” A visa, loan, or rental application may require a particular account, period, or format. You may also use the document for tax and accounting records, to review your spending, or to look into a transaction you do not recognize.
A bank statement is your bank's record of the money that entered and left your account during a set period. It also shows your balance and other account details.
Many banks let you download statements online. For a printed, signed, or certified copy, you usually need to contact the bank. Check the requirements first so you do not have to request another copy later.
What is a bank statement?
Banks prepare statements for a set period, called the statement period. Many issue them monthly, but the schedule varies by account type.
The transaction list in your bank's app may include recent or pending activity. A bank account statement usually covers a period that has already ended and shows account details, balances, and a list of transactions with their dates.
Your bank may provide it on paper or as an e-statement, often in PDF format. Before you submit it, check that the date range and format match the instructions. You may also need a bank stamp, signature, or certification.
What information does a bank statement include?
The layout varies by bank, but most statements contain similar information. Look for:
- The bank's name and contact details
- The account holder's name and address, when applicable
- The account type and full or partly hidden account number
- The start and end dates of the statement period
- The opening and closing balances
- Deposits, incoming transfers, and other credits
- Withdrawals, purchases, bill payments, and outgoing transfers
- Fees, charges, reversed transactions, refunds, or interest, when applicable
- The date, amount, and description of each completed transaction
If your statement shows an average daily balance, or ADB, the bank calculates it from your balance during the statement period. It is not the same as your closing balance, which is the amount left at the end.
Your bank may shorten transaction descriptions or show a merchant's registered name instead of the name you recognize. If an entry looks unfamiliar, compare the date and amount with your receipts, subscriptions, transfers, and recent purchases before reporting it.
What can you use a bank statement for?
You can use a statement to show your transaction history, confirm regular deposits, or review your account over time. Read the instructions first to see which details the recipient needs.
Visa and immigration applications
For a visa application, the embassy, consulate, or visa application center may ask for evidence that you have enough money for the trip or stay. When the checklist asks for several months, include every required month and make sure no pages are missing.
Requirements vary by destination and visa type. Read the latest official checklist for the required period and format. It should also say whether you need a bank certificate or a stamped, signed, or certified copy of the statement. An old checklist or another applicant's experience may no longer apply.
Rental and loan applications
For a rental or loan application, a landlord or lender may ask for your bank statement to see your regular deposits and whether you can manage the payments. You may also need to submit payslips, employment records, tax documents, or other documents listed in the application instructions.

Use your statements to confirm salary deposits, customer payments, transfers, and expenses while organizing your records. A "payroll bank statement" usually means the statement for the account where you receive your salary. It is not a separate type of document. If an employer or government office asks for one, find out which account, period, and format they need.
For tax or accounting work, keep the statement with receipts, invoices, payslips, and other records. The statement shows when money entered or left your account, while the receipt or invoice explains what it was for.
Managing personal finances
Reviewing one complete statement is often easier than checking a long list of transactions in an app. Start with one statement and mark your recurring bills, subscriptions, cash withdrawals, and fees. Then compare your opening and closing balances.
If you find a duplicate charge, a mismatched amount, or a transaction you do not recognize, report it to your bank. Use the bank's app or website, visit a branch, or call its customer service number. Keep the relevant dates, receipts, screenshots, and any case reference number. If your bank is supervised by the Bangko Sentral ng Pilipinas (BSP) and does not resolve your concern, you can take your complaint to the BSP through its Consumer Assistance Mechanism.
How to get a bank statement
You can often download recent statements without visiting a branch. If you need an older statement or a printed or certified copy, ask your bank.
Download it through your bank's app or website
Menu names differ by bank, but the usual steps are:
- Sign in through your bank's official app or website.
- Select the account you need.
- Open Statements, E-statements, Documents, or a similar section.
- Choose the statement period or date range.
- Download the bank statement in PDF format and save it in a secure folder.
Make sure the file includes every page before you send it. Screenshots or a copied transaction list may not replace a bank-issued PDF. Do not sign in using a link from an unexpected text or email.
Request it from your bank
If you cannot download the statement online, contact the bank or visit a branch. Tell them which account and statement period you need. Before going, ask which ID to bring, whether you need a form, whether there is a fee, and how long the request will take.
If you need a signed, stamped, certified, or sealed copy, tell the bank. If someone else will collect it for you, ask whether the bank has its own authorization form or requires other documents.
What to check before submitting a bank statement
Use the checklist you received and make sure:
- Your name matches the name in the application.
- You selected the correct account and statement period.
- The file is readable and unedited, with every required month and page included.
- The statement falls within the required date range.
- It contains any required ADB, signature, bank stamp, or certification.
- The file is in the requested format.
- You send it through the required upload page or delivery method.
Submit the complete statement unless the instructions say otherwise. If you want to hide sensitive details, ask first what you are allowed to hide. The person or organization that requested it may not accept the document if a required detail is missing or changed.
Bank certificate vs. bank statement
Some applications also ask for a bank certificate. A statement shows activity and balances over a period, while a certificate confirms account details as of its issue date. Submit both if the checklist asks for both.

Bank statement vs. Statement of Account
The term Statement of Account (SOA) can refer to more than one document. Check the issuer and account type to know which document you have.

For a deposit account, one bank may call the document an SOA while another calls it a bank statement. An SOA for a loan, credit line, or utility account is a billing record, not a bank statement for a deposit account.

- Save the PDF to your device.
- Tap Close in the top-left corner to exit.

How to keep a bank statement secure
Your bank statement contains sensitive financial information, so store and share it as carefully as your ID or payslip.
- Download it directly from your bank.
- Use a device with a screen lock and updated software.
- Sign out and remove the downloaded file if you use a shared computer.
- Keep the file in a protected folder, not in a chat thread or public link.
- Confirm the email address or official upload page before sending.
- Share only the requested statement for the correct account and period.
- Never send your password, PIN, one-time code, or full card details with the statement.
- Remove extra copies from your Downloads folder, email, and chat history when you no longer need them.
If a request seems unusual, contact the company or office using the details on its official website. Ask why they need the statement and how they will protect the file. If you cannot verify the request, do not send the statement yet.
