Proof of Address in the Philippines: Documents and Examples

Proof of Address in the Philippines: Documents and Examples

Proof of address is a document that links your name to your current home address. A bank, a lender, a government office, a school, or a utility company may ask for it. You may need one to open an account, apply for a service, or update your records.

If this is your first time preparing one, the term may sound more technical than it is. Usually, you need a recent document that shows your name and where you live.

Common examples include utility bills, bank statements, barangay certificates, and lease agreements. However, no single list applies to every request. Before choosing a document, look for four things in the instructions: the accepted document type, required details, age limit, and file format.

What is proof of address?

Proof of address usually comes from a company or office that already has your address in its records. The document may come from a utility company, a bank, a government office, a landlord, or a property manager.

The document should connect your full legal name to a complete home address. For example, an electricity bill may show your name, service address, billing period, and the utility company's name. A bank statement may show your name, mailing address, statement date, and bank name.

An address printed on a document does not automatically make it acceptable. It can still be rejected if it is too old, under another person's name, or not on the accepted list.

Why might a bank or office ask for your proof of address?

A bank, a lender, a government office, or a company may use address verification to confirm the address on your form or account. This check helps official notices, cards, or documents go to the right place. It can also help the bank or company find out whether a service is available in your area or verify your identity.

For banks and lenders, checking your address may be part of Know Your Customer (KYC) checks. KYC helps confirm a customer's identity and other information. Bangko Sentral ng Pilipinas Circular No. 1170 recognizes that banks and lenders may need different checks depending on the customer, product, or transaction. They may use official IDs or other records and information they can verify.

You may also see this requirement called proof of residency.

Proof of address vs. proof of residency

On many forms, proof of address and proof of residency refer to a document showing where you live.

Some offices use the term proof of residency when they also need to know how long you have lived in an area. In that case, follow that office's definition and document list.

If the meanings differ, use the definition and requirements on your form.

Common proof of address documents you can use in the Philippines

The document you can use depends on the bank or office, but these are common options in the Philippines.

Utility and phone bills

Electricity and water bills are commonly accepted because they show a customer's name and service address. Some banks and offices also accept landline, internet, cable TV, or postpaid mobile bills.

The bill should clearly show your full name, current service or home address, the utility or phone company's name, and the billing date. If the service address differs from the mailing address, keep the service address visible.

Not every bank or office accepts the same bills. For example, Bukas lists water, electricity, landline, postpaid mobile, and internet bills as accepted documents. Wise does not accept mobile phone bills for address verification. Check the list you received because requirements vary.

Bank and credit card statements

A recent bank or credit card statement may also be accepted because it shows your billing address. It can include your full name, home or mailing address, bank name, and statement date.

If you want to see what proof of address looks like, a complete bank statement is a useful example. When bank statements are accepted, download and submit the full official statement rather than a screen showing only your balance or transactions. Keep the bank name, statement period, and address visible, and include all required pages.

Look at the address on the statement before you send it. If it still shows your old address, ask the bank to update your records or use another accepted document.

If you have a Salmon Credit Line, you can download an official Statement of Account (SOA) from the Salmon app. From Home, open Credit Line, select Billing Cycles, and tap See the latest statement. Tap the PDF icon in the top-right corner to open and save the file. If no statement has been generated yet, the app will show the current and next billing cycles instead. See how to view and download your Credit Line SOA to know more.

A Credit Line SOA is not the same as a bank account statement. Before using it as proof of address, check whether the bank or office accepts Credit Line statements and whether the PDF contains all the required details.

Barangay certificates and government documents

A barangay certificate can serve as proof of residence when it appears on the accepted list. The certificate should clearly show your name, address, issue date, and issuing office. Other required details can vary.

Your barangay office can explain what to bring and when the certificate will be ready. Check with the bank or office whether it must say what you will use it for and how recent it must be.

Some banks and lenders also accept police or National Bureau of Investigation clearances. Bukas, for example, includes both on its list of accepted proof-of-residence documents. Before requesting either one, check that your list includes it and note how recent it must be.

Lease agreements and property documents

If the bank or office accepts a lease agreement, submit a signed copy of your current lease. Check that it shows your name, complete rental address, lease period, and the required signatures. Find out whether you need to submit the entire agreement or only the pages with these details.

What details should your proof of address show?

Before you send a document, check that it shows:

  • your full legal name, with the same spelling on your application and other required documents
  • your complete current residential address, including your unit or house number
  • the company or office name and logo on the document
  • a clear issue date, billing period, or statement date
  • the document title and any account or service details required for your application
  • any required reference number, signature, seal, or contact detail

Even a small mismatch may lead to a request for another document. Examples include a missing unit number, an outdated barangay name, a nickname, or a misspelled surname. If an online form has too little space, ask how you should enter your full address.

If you find an error, do not edit the file. Contact the company or office for a correction, or choose another accepted document if allowed.

Proof of address examples for different situations

The document you can use depends on whose name is on the bill or lease and whether you have recently moved. The proof of residency examples below can help you decide what to prepare.

When the utility bill is in your name

If your list includes electricity bills, you can use one in your name if it shows your current Quezon City address, the utility company's name, and a date within the allowed period. The details should also match your form.

The photo, scan, or PDF should clearly show your name, address, the utility company's name, and the date. If the bill uses an initial but your valid ID shows a full middle name, ask whether you need to explain the difference or provide another document.

When you live with family or someone else

If the household bill is under someone else's name, it may not be enough on its own, but you may still have other options.

Check whether you need proof of your relationship, the ID of the person named on the bill, a letter confirming your residence, or a document in your own name. Prepare the exact combination required for your application.

If a letter of proof of residency is allowed, use the provided template. Do not assume that a personal letter will be enough. Confirm who must sign it, which address details it should include, and whether it needs another supporting document.

When you rent a home or room

If lease agreements are accepted, submit a signed copy that names you as the tenant and shows the rental address. It should also name the landlord or property owner and state the lease period.

If the lease names another person, check whether you may submit a barangay certificate, a letter confirming your residence, or the owner's bill with another supporting document. If a lease is required, submit the actual rental agreement. Do not create or backdate a contract for an application.

When you have recently moved

Preparing proof of address may take a little more work after you move. Start by updating your address with your bank, utility companies, and other companies where you have an account. If your new bill or statement is not ready, find out whether you can use an updated lease, a barangay certificate, or two accepted documents together.

If your document still shows your previous address, tell the bank or office before you submit it.

Can you use digital documents as proof of address?

If you receive bills or statements online, download the official file first. Some banks and offices accept the downloaded PDF, while others also allow a scan or clear photo. Use the file format required for your application.

Download online statements and bills only from the official website or app. Keep all required pages. If the file has a password, check whether the website or app accepts password-protected files.

Before sending a photo or scan, check that every required page is present, all four corners are visible, and the text remains readable when you zoom in. Avoid blur, glare, shadows, and cropped edges.

Do not add an address, change a date, or edit any other document detail. Before hiding financial details, check whether you may cover the balance, transactions, or account number. Keep your name, address, document date, and company or office name visible.

Why might a bank or office reject your proof of address?

Even when you have the right type of document, a bank or office may reject it if a detail is missing or the file is unclear. Common reasons include:

  • Wrong document type: choose another option from the accepted list.
  • Too old: get a newer bill, statement, or certificate.
  • Name or address mismatch: update the information with the company or office that issued the document.
  • Another person's name: ask what you need to prove your relationship to the named person or your connection to the address.
  • Missing title, date, or the name of the company or office: submit the complete official document.
  • Unclear image: download the original PDF or take a new photo in good lighting.
  • Missing pages: send every page required for the application.
  • Wrong file format: replace a screenshot with the required PDF, scan, certified copy, or original document.
  • Changed details: request a new official copy instead of editing the document yourself.

If the rejection reason is unclear, contact whoever requested the document and ask which file or detail is missing.

How can you submit your proof of address?

Use this checklist before you send your document:

  • Read the list of accepted documents and note how recent the document must be.
  • Check that your full name and current residential address match your application.
  • Contact the bank, company, or office that issued the document to correct any old or inaccurate information.
  • Use the complete official PDF or a clear image of the full document.
  • Include any required supporting documents if the document belongs to someone else.
  • Submit through the app, website, branch, email address, or other method listed in the requirements. Keep the confirmation until the review is complete.

A proof-of-address document contains personal details. Open the official app or type the official website address yourself, and do not upload your document through a link from an unknown sender. Never share your password or one-time code.

Frequently asked questions (FAQ)

What is proof of residency?

Proof of residency is a document or record that shows where you live. It often means the same as proof of address. Some offices also use the term when they need to know how long you have lived in an area, so use the definition given by that office.

What can I use as proof of address in the Philippines?

Accepted documents may include utility bills, postpaid phone bills, bank or credit card statements, barangay certificates, lease agreements, and government letters. Check the requirements for your application because the rules can differ.

Can I use a barangay certificate as proof of address?

Yes, when the list includes barangay certificates and yours contains all required details. Check with your barangay office about the latest requirements before requesting one.

Can I use a bank statement as proof of address?

Yes, if bank statements are accepted for your application. Use an official copy showing your full name, current address, bank name, and a date within the allowed period.

If you have a Salmon Credit Line, you can view and download an official Statement of Account (SOA) from the Salmon app. See how to view and download your Credit Line SOA for the complete steps. Before submitting it, check whether the bank or office accepts Credit Line statements and whether the PDF contains all the required details.

Can I use a document that is not in my name as proof of address?

Yes, in some cases, but you may need additional documents. These can include proof of your relationship, a letter confirming your residence, a lease, or a barangay certificate. Check which combination you need before submitting anything.

How recent should my proof of address be?

Proof of residency requirements vary. Do not assume that every document is valid for three months. Use the exact time limit in the requirements for that document.

Is proof of address the same as a valid ID?

No, because a valid ID mainly confirms your identity, while proof of address confirms where you live. A single document can sometimes do both, but only when the requirements allow it and all needed details are present.

Can I submit an online bill as proof of address?

Yes, if online bills are accepted and your file meets the required format. Download the official PDF or another accepted file directly from the website or app. Check that it clearly shows your name and address, the company or office name, and the issue date.
